If the Balance Sheet or Trial Balance does not agree with the A/P Aging report for a specific date, the following steps will probably find and correct the error.
If a purge of data has been done, we do not know if this will fix it, but it should be tried first.
If step 4 requests that you open periods many years back, you may want to discuss another solution to this problem.
1. Rebuild DF
2. Get Clean Diagnostics
3. Diagnostics > Other Accounting > Acnt 2100, No Vend or PBH
A/P TRX with No Vendor or Payable.
For each transaction on the report, either link them to the correct payable, or delete them if the payable is already correct.
If you can’t find the payable, you might be able to identify it by the Description or the Vendor.
If VCODE = PBH_REFNUM = XXX
Edit the transaction and link it to a Vendor, as well as the offset transaction.
If TDRAMT = 0.00 and TCRAMT = 0.00
Find in the Trx Inspector
DELETE the set
4. On the diagnostics you ran in step 3, A/P TRX with No Vendor or Payable.
Find the oldest Post date and reopen periods to then.
Ignore the post dates of transactions that are zeros in both DR and CR.
Ignore the post dates of transactions that needed to be connected to vendors.
Use only the post dates of transactions that had a change in amount or account number, even if one of those transactions was deleted.
WARNING: If opening balance transactions have been edited, this may uncover other errors and cause previous statements to not agree with what has already been run.
5. Print again:
Diagnostics > Other Accounting > Acnt 2100, No Vend or PBH
Fix any remaining errors as above.
Nothing should show up.
7. Close periods to the previous point.
If the A/P report still does not agree with the Balance sheet, we would need to see your data file for further examination.
