2007: CUSTOMER DIAGNOSIS – AR, ERROR ON INVOICE

If there are also DATE out of BALANCE errors, they should be fixed before these errors.

The diagnostics will confirm that the A/R Transactions on the invoice exactly match the Due field on the invoice. This error is generated if the numbers do not agree.

The following fix will update the data from the “bottom up”. It will use the A/R Transactions to update the Invoice Balance Due and the Customer Balance Due. This is far easier than trying to edit the Transaction File to match the Invoice Due.

    1. Find the invoice that is mentioned on the Diagnostic Report.

    2. Click the A/R Transactions button.

    3. Click “Yes” to fix the error when prompted.

The A/R System is now in balance.

    4. If the Invoice due is now incorrect according to your records, you will need to adjust the balance due by going to Commands > ..Adjust Receivables. Enter the amount to make the correction. If you do not know the offset GL Account to use you can open the Transaction Inspector for that invoice. You may need to understand accounting to determine the correct offset, or you can leave it to your bookkeeper for later by offsetting to the Suspense Account.

If you need to investigate the transactions that were used for the udpate, click on the TRX Inspect button for the invoice.

Note: If the transaction inspector shows that the invoice has been posted more than once, then the best fix is to zero out the second set of posting transactions. If you have already “Fixed due from A/R”, just do that procedure again.

When done with all corrections print the Diagnostic Report again.
